Replacing fragmented paper forms and email-based tracking with a role-based, compliance-enforced workflow platform integrated into an institutional student portal.
A premier academic medical institution and leading healthcare educator in the United States, managing a high volume of student preceptorship and elective requests across dozens of clinical departments and faculty networks.
Manual preceptorship workflows relying on physical paperwork and ad-hoc email approvals caused chronic processing delays, a total lack of tracking visibility, compliance exposure, and severe administrative overhead for busy faculty and registrar staff.
We designed and delivered a full-stack, automated preceptorship workflow platform integrated directly into the institution's existing SOLARIS student portal.
This leading US academic health system sits at the forefront of medical training and clinical excellence. Coordinating across multiple regional facilities, the institution relies on technology-driven innovation to eliminate administrative bottlenecks, maintain strict academic compliance, and provide an agile, transparent environment for thousands of active learners and educators.
Manual handling of clinical elective permissions introduced persistent operational hazards:
We developed a highly secure, decoupled workflow platform pairing a responsive React frontend with a robust Node.js REST API and a MySQL relational database layer handled via the Sequelize ORM. Connected directly to the client's Single Sign-On (SSO) infrastructure, the system enforces strict Role-Based Access Control (RBAC) to present customized, targeted interfaces for four distinct user archetypes:
1. The Student Dashboard
Learners initiate elective requests directly from their portal, searching for preceptors via a dynamic directory link. The dashboard updates in real time, showing the exact stage of the request and letting students download fully executed agreement PDFs the moment final approval is secured.
2. The Preceptor Queue
When named in a request, external or internal clinical preceptors receive an automated email with a secure deep link into their pending queue. The platform pre-fills student fields, allowing the preceptor to focus exclusively on inputting specific clinical details—including hospital affiliations, expected patient contact hours, and daily activity outlines—either in one sitting or as a saved draft.
3. The Dean Evaluation Panel
Once vetted by the preceptor, applications route automatically to academic deans. The interface features a built-in compliance engine that automatically surfaces two critical flags: whether the application respects the 45-day lead-time boundary and whether the requested dates clash with pre-existing student enrollments. Deans can approve, decline with custom comments, or execute modifications.
4. The Registrar Read-Only Ledger
Provides the registration office with a live, searchable, and fully auditable historical ledger of all applications at or beyond the preceptor-approved threshold. Staff can rapidly extract transactional logs or download generated PDFs for institutional archiving.
