Unifying Global Oilfield Operations Through SharePoint Intranet Modernization

Enhancing global productivity and business process automation for a FTSE 250 energy services leader through a collaborative, multi-portal SharePoint ecosystem.

Client

A leading global energy services provider listed on the London Stock Exchange and a constituent of the FTSE 250 index. The client delivers tailored solutions across the entire oil and gas asset life cycle to national and international oil companies.

Problem Statement

The client’s legacy SharePoint environment lacked the scalability and advanced automation required to manage global projects, resulting in fragmented information, manual bottlenecks, and underutilized infrastructure.

Quick Summary

We transformed the client’s digital workplace by developing a suite of interconnected portals—Petrowall, HR, and Construction—using SharePoint Server 2010.

  • Engineered a custom Invoice Processing System (IPS) with a bi-directional ERP integration, automating complex approval workflows for vendor management.
  • Reduced operational costs and IT dependency by implementing centralized administrative controls and metadata-driven security across a massive document repository.

Client Profile

As a global enterprise in the energy sector, the client operates in high-stakes environments where project data and compliance are critical. Their services span from initial exploration to decommissioning, requiring a unified platform that can support diverse teams and high-concurrency data access across international locations.

Challenges: Fragmented Workflows and Information Silos

The client’s existing infrastructure hindered efficient global delivery:

  • Operational Bottlenecks: Manual invoice processing and ad-hoc reporting requests were labor-intensive and slow.
  • Lack of Collaborative Space: No unified environment existed for project-specific collaboration, leading to document versioning issues and lost productivity.
  • Underutilized Technology: The client required strategic consultancy to maximize their SharePoint ROI and modernize existing applications.
  • System Disconnect: Essential Line-of-Business (LOB) applications were isolated from the communication layer, preventing seamless data flow.

QBurst Solution: A Multi-Portal Ecosystem with LOB Integration

We redesigned the SharePoint environment as a collection of specialized portals, each tailored to specific business functions. The architecture utilizes custom-developed web parts, timer jobs, and event receivers to deliver functionalities far beyond "out-of-the-box" SharePoint.

The technical framework consists of several high-impact pillars:

  • Collaborative Portals:
    • Petrowall: A centralized social hub for company-wide content sharing.
    • Construction Portal: A project-centric environment hosting sites for current projects with dedicated libraries for plans, reports, and task monitoring.
    • Project Management Central: A dedicated hub for tracking milestones and resource allocation.
  • The Invoice Processing System (IPS): We developed a custom collaborative workflow that interfaces with the client’s LOB ERP system. Invoices are ingested from the ERP, passed through a multi-level SharePoint approval cycle, and the final status is synchronized back to the ERP for payment.
  • Governance & Search: Implemented a large-scale document repository with Enterprise Search capabilities and metadata-driven security to ensure the right people access the right data.

Key Features

  • Custom Workflow Engine: Features task escalation, delegation, and periodic reminders to ensure no process stalls.
  • LOB Bi-directional Integration: Seamless data exchange between SharePoint and enterprise ERP systems via Web Services.
  • Rich UI Components: Utilized Silverlight, jQuery, and JSOM to create a highly responsive and intuitive user interface.
  • Administrative Command Center: A centralized UI for admins to manage security and content without deep technical expertise.
  • Automated Audit & Tracking: Introduced an Exception Tracker and Auditing System to maintain high compliance standards across all energy projects.

Impact

  • Streamlined Financial Ops: The IPS significantly reduced the turnaround time for vendor payments and improved financial transparency.
  • Improved Decision-Speed: The response time for ad-hoc report requests was drastically reduced through automated data aggregation.
  • Enhanced Collaboration: Centralized logistics and project information entry reduced operational bottlenecks across global construction sites.
  • Lower Operational Costs: By maximizing the potential of the existing SharePoint platform, the client reduced their reliance on expensive third-party tools and custom IT support.
  • Zero-Gaps Security: Metadata-driven security ensured that sensitive project and HR data remained protected across the global enterprise.
